Mail Notifications

Mail notifications are sent to users at each level of approval flow. To make this feature work, the system administrator needs to ensure that:
  • Valid Email IDs are set against all the relevant users
  • Mail server is configured.
    Note: Go to this location for this configuration: Management Console > System > Mail Server.
The table below gives a list of recipients at various levels of mail notifications:

  • All stewards
  • All approvers one level up the submitting level. For example, if Steward has published the entity, the notification goes to Approver Level 1. In case the Steward also happens to be an Owner at Approval Level n, the notification goes to approvers at level n+1, provided n+1 is not the last level in the work flow.
Delete
  • All stewards
  • All approvers one level up the deleting level. For example, if Steward has deleted the entity, the notification goes to Approver Level 1. In case the Steward also happens to be an Owner at Approval Level n, the notification goes to approvers at level n+1, provided n+1 is not the last level in the work flow.
Recall
  • All Stewards
  • Next pending approval level
Approved at level n, where n is not the last level in the work flow
  • Stewards
  • approval Level n+1
Approved at the last level
  • Stewards
  • Owners at all the levels
