Adding review processes to a project

Each review process consists of a sequence of steps which must contain at least one step. Steps are executed in the order that they are defined.

To add a review process to a project:

  1. From the Project details page click on the project to add the review process.
  2. Click Review Processes.
  3. Click Create Review Process.
  4. You will be prompted to enter the Review Name and optional Comparison Profile.
    Note: Comparison profiles allow for the controlled comparison between the output produced from the modified template and its prior version. If the use of comparison profiles is implemented in your organization, you will be allowed to select the required profile otherwise the Comparison Profiles option will not be visible.
  5. Define the review steps, refer to the section that follows.
  6. Click Save Review Details button to save the review process.
    Note: That all review steps previously defined will be lost if you choose the Cancel option rather than Save Review Details. A review must have at least one step before it can be saved.

Review steps

Review steps allow asset designs to be reviewed by different sets of users with different goals. For example, you may have defined legal and marketing groups who will, if assigned, review the document from different perspectives.
Note: Note that steps after the first rejection will not be executed.
  1. A New Step Details section is presented, enter the information described in the table that follows.
  2. To complete the process, ensure you click Add Step. The expandable section is closed and is identified by its Step Name.
    Note: Click to delete a review step.
  3. A New Step Details section is opened to allow for additional review steps to be defined.
  4. To complete the review process definition click Save Review Details.
Review step entry fields
Entry field Mandatory Description
Step name Yes Each step has a name. The name is a useful way to distinguish the purpose of one step from another in a process.
Reviewers Yes Choose the required users/groups that will perform the review step. Note that review users and groups are defined by your Community administrator and you will only be allowed to select from a set of predefined users/groups.
who must review Yes This determines how the review step is performed, as follows:

Anyone

If you choose this option, the step will be completed by the first user who claims it. When the step has been claimed no other user will be able to claim it.

Everyone

If you choose this option, the step must be completed by every reviewer for the step to be complete. Note that the step will complete on the first rejection.
how groups review and approve Yes If you have included groups in the Who must review list then this option determines how those groups are treated as follows:

One person reviews for the group

The group’s contribution to the step will be complete when the first user in the group completes the step.

Everyone in the group must review

The group’s contribution to the step will be complete when every user in the group completes the step with an approval or, at the first rejection.
