Template Revisions

Content Manager Template Revisions

On the Template Revisions page you can view a list of all versions of a template and perform various actions and operations.

Actions/Operations on template versions include:
  • Viewing information for a version
  • Initiating creation of a new version based on a existing version
  • Deleting a version
  • Opening the Version Testing/Results page for a version
  • Sending a version to a proofing queue
  • Activating a version
  • Archiving a version
You can view information for any version and initiate creation of a new version from any version. Other actions on a version depend on the version's status as described below.
  • Draft - Has not been submitted to a proofing queue - Available actions: Delete, Test/Results, Proof
  • Pending - Has been submitted to a proofing queue - Available actions: None
  • Accepted - Has been reviewed and accepted in the Proofing section - Available actions: Delete, Test/Results, Activate
  • Rejected - Has been reviewed and rejected in the Proofing section - Available actions: Delete, Test/Results, Retry
  • Active - Is the version in use - Available actions: Test/Results, Archive
  • Archived - Has been activated, but is now archived - Available actions: Delete, Test/Results, Activate

To access the templates revisions page

  1. Perform a template search.
  2. Locate a template in the results table.
  3. Click the linked template name. The Templates Revisions page is displayed.

To view information for a template version

  1. Access the Templates Revision page.
  2. Click the I button in the Operations column for the version you want to view information for. A pop up window displays information about the version which includes a rejection reason for versions with a Rejected status.

To initiate creation of a new template version

  1. Access the Templates Revision page.
  2. Click the linked version number of version on which you want to base the new version. The Template Version Editor page is displayed.

Note: Refer to the Template Version Editor help topic in the Content Manager help section.

To delete one or more versions

  1. Access the Templates Revision page.
  2. Click the check box for each version you want to delete.
  3. Click a Delete button. A dialog box displays.

  4. Click OK to confirm the deletion. The Template Revisions page redisplays without the deleted version(s) and provides a deletion confirmation message.

To open the Version Testing/Results page for a version

  1. Access the Templates Revision page.
  2. Click Test/Results for a version. The Version Testing/Results page is displayed.

To send a version to a proofing queue

  1. Access the Templates Revision page.
  2. Click Proof for the version you want to proof. The Template Versions table updates, changing the version's status to Pending.

Note: Versions sent to a proofing queue are available for testing in the Proofing interface. The version's status of Pending is provided to the Proofing interface.

To activate a version

  1. Access the Templates Revision page.
  2. Click Activate for the version you want to activate. The status changes to Active, the Template Versions list updates to display the change, and all compositions using this template will use this version of the template.

Note: Only one version can be active. A confirmation dialog is provided When there is already an active version and you choose to activate another version.

To archive a version

  1. Access the Templates Revision page.
  2. Click Archive for the version you want to archive. The status changes to Archived and the Template Versions list updates to display the change.

Note: If desired, you can archive all versions of a template, effectively making it unavailable for use.
