Workflow System Maintenance
Workflow provides several maintenance mechanisms, including:
- Re-assign workflow processes in bulk (in the event of a staffing change, vacation, or policy change, for example
- Graph and monitor performance so you can evaluate process and workflow participant productivity.
- Back Up and Restore Data for disaster recovery.
Re-assigning workflow processes in bulk
Back to topIf you need to re-assign Workflow processes (in the event of a staffing change, vacation, or policy change, for example), you can re-assign multiple Workflows in bulk.
- Navigate to The Winshuttle CENTRAL Workflow site, sign in as an Administrator and click the Winshuttle Process List header.
- In the Actions menu, select Bulk Reassignment.
- In the Reassign from the user with this user name box, type the domain/username of the person whose assignments you want to reassign.
- In the To the user with this user name box, type the domain/username of the person to whom you want to assign the tasks.
- Click Reassign to open the ShareVis Bulk Reassignment Select and Confirm window.
- Use the checkboxes to set the reassignment rules, and click Confirm Reassignment.
- The selected assignments and processes are now updated with the new user assigned to them.
Performance Monitoring
Back to topWorkflow Graphs allow you to monitor and evaluate the performance and efficiency of a process, its tasks, and the workflow participants, providing insight into process bottlenecks and user patterns, which can be used to streamline and improve a process.
To create a graph:
- Open the Workflow Central Administrator site.
- Under Reporting, click Charts.
- Enter the URL for the server.
- In the Report Type menu, select the report to generate:
- Site Performance Analysis — includes data for all processes on the site.
- Process Performance Analysis — presents the time (in days) that it takes for a process to complete.
- Task Performance by Process Analysis — presents the time (in days) that it takes for tasks assignments in a process to complete.
- Performers Performance by Process Analysis — presents the time (in days) that it takes a performer to complete their task assignments in a process.
- In the Process menu, select the process you want to analyze.
- In the Report Period menu, select the date range of the chart.
- In the Chart Title box, type a name for the chart.
Note: It is a good idea to use names that contain only alphanumeric characters and underscores. Avoid using spaces and non-alphanumeric characters.
- From the Chart Type menu, select the type of chart you want to create:
- Bar Chart — the criteria in your report will be presented in a bar chart.
- Pie Chart — the criteria in your report will be presented in a pie chart.
Note: The Pie Chart option is only available when running a Process Performance Analysis.
- Click Generate.
Note: Only a person with the Manage Lists permissions may view charts.
Backing Up and Restoring Data

Backing up data
- Back up the SharePoint content databases on your SQL Server instance.
- Back up the Winshuttle databases on your SQL Server instance.
- Back up the sharevis.config files in all of your Workflow-extended Web root directories.
Restoring data:
- Reinstall SharePoint.
- Create the same Web applications as you had on the old system.
- Install Workflow.
- Configure all Web applications with Workflow as you had on the old system.
- Detach and delete all SharePoint content databases from the SharePoint Central Administration and then in SQL Server.
- Delete all Workflow databases in SQL Server.
- Restore all SharePoint content databases from your backup.
- Attach the SharePoint content databases from the SharePoint Central Administration.
- Restore all Workflow databases.
- Restore all backed up sharevis.config files.
Should any authentication parameters need to be changed, they all reside in the sharevis.config files in your Web root directories.
